There are some very strong opinions about whether or not to ship into the advanced warehouse when moving your exhibit into a trade show. At most shows there is a premium charged for this service, but at almost no show is the premium so high that you should completely eliminate the possibility of using the advanced warehouse.
Instead, I usually base this decision on how tight the installation and dismantle set-up schedule is.
Essentially, what the advanced warehouse premium buys you is insurance that your booth will be one of the first into the trade show hall. Almost always, this means that your booth will be loaded into the convention center many hours before you are allowed to begin the exhibit installation process. So if you need every minute of the set-up period alotted, the advance warehouse is the best way to insure that you will get that much time.
.Additional reasons to consider the advanced warehouse:
1) Eliminate shipper wait time: If you know that the trade show or convention center is infamous for long wait times, using the advanced warehouse will definitely eliminate all of the wait time from your shipment. Most shippers charge $75 an hour for wait time. As a result, it is very possible for the wait time charges to become larger than the premium for using the advanced warehouse.
2) Flexible delivery times. The advanced warehouse often begins accepting exhibits without any storage charge up to 30 days prior to the trade show set-up. This means you don't have to target your shipment to a 1 or 2 day window, and thus, gives much more delivery flexibility to your shipper. Flexibility often leads to reduced costs and piece of mind.
On the other hand, if you have much more time allowed in the set-up period than you need, then there are very few reasons not to ship the booth direct to the show site, save the extra expense and potential risk of loss or damage when using the advanced warehouse
Also, be sure to communicate with the general contractor (GC) if your schedule is very tight. There are many ways that the GC can make your load-in smoother and your installation more efficient.
